Overview
A Knowledge Assistants is an AI-powered assistant that can answer questions based on your organization's knowledge base. You can create custom Knowledge Assistants tailored to specific domains, link them to knowledge collections, and configure their visibility and behavior. Users can interact with Knowledge Assistants through a conversational chat interface.
Please click on the Knowledge Assistants submenu under the Agents menu to enter the Knowledge Assistants management page.
View Knowledge Assistants List
The Knowledge Assistants page displays all available agents in a card-based layout. Each card shows the agent's name, description, and action buttons for chatting, editing, and deleting.
Search Knowledge Assistants
To search for a specific Knowledge Assistants, enter keywords in the search box at the top of the page. The list will filter in real-time to show only agents matching your search term.
Create a New Knowledge Assistants
Please click the Create Expert button in the upper right corner to create a new Knowledge Assistants. A multi-step form wizard will guide you through the configuration process.
Step 1: Basic Information
In the first step, enter the basic information for your Knowledge Assistants:

Name (Required) - Enter a descriptive name for the Knowledge Assistants.

Description (Required) - Provide a brief description explaining the purpose and capabilities of this Knowledge Assistants.

Instruction (Optional) - Add specific instructions or guidelines for how users should interact with this Knowledge Assistants.
Click Next to proceed to the next step.
Step 2: Link Collection
In this step, you can link a knowledge collection to your Knowledge Assistants:

Select a Collection from the dropdown list. Collections contain the knowledge base documents that the Knowledge Assistants will use to answer questions.

If you don't select a collection, the Knowledge Assistants will rely on its general AI capabilities without access to your organization's specific knowledge.
Click Next to proceed to the next step.
Step 3: Predefined Questions
In this step, you can add predefined questions that will be displayed as quick-start options for users:

Click Add Question to add a new predefined question.

Enter the question text in the input field.

You can add up to 3 predefined questions. To remove a question, click the delete button next to it.
Click Next to proceed to the next step.
Step 4: Visibility Settings
In this step, configure who can access and use this Knowledge Assistants:

Click Next to proceed to the final step.
Step 5: Disclaimer Settings
In the final step, you can configure a disclaimer that users must acknowledge before using the Knowledge Assistants:

Toggle the Enable Disclaimer switch to enable or disable the disclaimer feature.

If enabled, enter the disclaimer content in the rich text editor. You can format the text using bold, italic, lists, and other formatting options.

Click Submit to create the Knowledge Assistants.
After submission, the new Knowledge Assistants will appear in the list and be available for use according to its visibility settings.
Edit Knowledge Assistants
To edit an existing Knowledge Assistants:

Click the Edit button on the Knowledge Assistants card you want to modify.

The same multi-step form will appear with the current configuration pre-filled.

Navigate through the steps and modify any settings as needed.

Click Submit to save your changes.
The changes will take effect immediately for all users who have access to this Knowledge Assistants.
Delete Knowledge Assistants
To delete a Knowledge Assistants:

Click the Delete button on the Knowledge Assistants card you want to remove.

A confirmation dialog will appear asking you to confirm the deletion.

Click Confirm Permanent Delete to permanently remove the Knowledge Assistants.
The Knowledge Assistants will be permanently deleted and will no longer be available to any users. This action cannot be undone.
Chat with Knowledge Assistants
To start a conversation with a Knowledge Assistants:

Click the Chat button on the Knowledge Assistants card.

If the Knowledge Assistants has a disclaimer enabled and you haven't agreed to it yet, a disclaimer dialog will appear. Read the disclaimer content and click I Agree to proceed.

You will be taken to the chat interface where you can type your questions and receive responses from the Knowledge Assistants.

If predefined questions are configured, they will appear as quick-start buttons that you can click to ask common questions.
Your disclaimer agreement is saved for the session. You won't need to agree again until you log out or start a new session.
Important Notes
Required Permissions
The following permissions are required to perform actions in the Knowledge Assistants module:

agent:read - Required to view Knowledge Assistants and use the chat function

agent:edit - Required to create and edit Knowledge Assistants
-
agent:delete - Required to delete Knowledge Assistants
Visibility Settings

Only the owner of a Knowledge Assistants can edit or delete it, regardless of visibility settings.

When changing visibility from "Shared" to another option, the previously selected users will lose access.

Company-wide visibility makes the Knowledge Assistants available to all users in your organization.
Best Practices

Use descriptive names and descriptions to help users understand the purpose of each Knowledge Assistants.

Link a relevant knowledge collection to ensure the Knowledge Assistants can provide accurate, domain-specific answers.

Add predefined questions to guide users toward common use cases and improve their experience.

Use disclaimers to set expectations about AI-generated content and any limitations.
-
Start with "Private" visibility while testing, then change to "Company-wide" or "Shared" when ready.
